Everything a club's finances need — nothing it doesn't

VarCentral is built for the realities of volunteer-run clubs: shared duties, seasonal budgets, many teams, and a board that needs clear answers.

Ledger & cash flow

Record every dollar received and paid, categorize it, and allocate each entry to a specific team or keep it club-wide. See your running balance at a glance.

12-month cash-flow forecast

Combine dated actuals from your ledger with planned monthly inflows and outflows to see where the club's cash is headed across the season.

Teams, budgets & break-even

Give each team its own budget, recommend fair fees, and calculate break-even registrations and the fee per athlete needed to cover costs.

Rosters & tuition

Keep an athlete roster for each team and reconcile expected tuition against the receipts actually recorded in the ledger. Export a tuition roster anytime.

Fundraising & sponsorships

Track campaigns and goals, manage sponsorship packages and commitments, and send editable donation acknowledgments and outreach templates.

Event economics

Plan tournaments and events, calculate the registrations you need to break even, and compare expected margins before you commit.

Operations calendar

Track seasonal milestones, deadlines, ownership, and progress on a club operations calendar so nothing slips between volunteers.

Board-ready reporting

Generate a printable, board-ready financial summary from your saved data, with actual income and expenses broken out by team.

Payroll-prep worksheets

Keep personnel records for coaches, staff, and board members, review W-2 vs. 1099 classification, and export preparation worksheets for tax time.

Your data, your control

Everything saves locally in your browser. Export full JSON backups or CSV files for the ledger, roster, calendar, reports, and year-end summary.

Frequently asked questions

Who is VarCentral for?

Volunteer treasurers, board members, and administrators of amateur and youth sports clubs and teams who need to track club money clearly — without accounting software built for large businesses.

Where is my club's data stored?

Each edition runs in your web browser and saves your data locally on the device you use it on. It is not a shared bank account and does not move money. We recommend exporting a JSON backup regularly, and before switching browsers or devices.

What's the difference between the editions?

Both editions share the full finance toolkit: ledger, cash-flow forecast, per-team budgets and allocation, rosters, fundraising, sponsorships, event economics, the operations calendar, board reporting, and backups. The MVP Edition additionally includes a full board meeting minutes editor with formatting, attendees, and export to Word or PDF. Pro is $14.99/month and MVP is $24.99/month, and both start with a free 7-day trial.

Can I allocate income and expenses to specific teams?

Yes. On each ledger entry you choose a team to allocate it to, or mark it Club-wide for general operations. Actual income and expenses are then totaled by team, and unassigned entries stay club-wide until you edit them.

Does it handle fiscal years and different currencies?

Yes. You can set a calendar year (Jan–Dec) or a custom fiscal year, and choose your currency (including USD, CAD, and GBP) in Settings.

Can I export data for our accountant or board?

Yes. You can export CSV files for the ledger, tuition roster, calendar, reports, and year-end summary, print a board-ready report, and download a full JSON backup. The MVP Edition can also export board minutes to Word and PDF.
